Makor ERP Diagnostic and Wiping Integration with YouWipe

This article explains how the integration between the Makor SaaS ERP platform and the Diagnostic/HDD Wiping Solution provided by YouWipe functions.

In-Unit Drives

In-Unit hard drives require the following procedure for wiping and BIOS reporting:

Step 1:  Boot up the client

Client has booted up (Screenshot 1)

Erasure Standard menu is selected from the menu (Screenshot 2)

Erasure process starts once “Erase this disk” button is clicked (Screenshot 3)

Step 2: Select Wipe Procedure

ERP Mode.  This mode will have the client wait until the ERP has the wipe instructions set by the Technician.  This is the default mode, as the client uploads a report in Makor at boot time and starts waiting for erasure commands. Once a command is received, it will start erasure and stop polling. To start polling again, the system has to be rebooted.

Manual Mode.  This mode will wipe the drives based on the technician selection on the <YouWipe> client. This means the technician will start erasure based on a selected standard and polling for Makor commands is disabled. To enable it, the machine has to be rebooted.

Step 3: Load Data in the ERP

3.1 The Technician will load the Asset information in the ERP by bringing up the Asset in the Test screen, making sure the serial number is listed and then importing the Diagnostic data as shown below by clicking the “load from YouWipe” button.

IF the Wipe Procedure was set to ERP Mode – the technician will have to first make sure the data bearing unit is connected to the YouWipe server and then select the Wipe command that is allowed by the Customer contract and suits the HDD parameters in the ERP.   This is performed as follows:

3.1.1 HDD information displayed.  The HDD information provided by the diagnostic software will be displayed as shown below.

3.1.2 Technician will assign the service required (see system definition below) based on the options in the ‘HD Services Performed’ dropdown (which is 100% driven by the customer CRM contract) and note whether the drive was removed or not. Note: These services can be renamed if required.

Hard Drive Wipe X 1:  One Time Pass

Hard Drive Wipe x 3: Three Time Pass

Hard Drive Wipe x 7: Seven Time Pass

Hard Drive Destroy: Destroy (Below Cutline / Customer Mandate / Damaged)

Hard Drive Degauss: Degauss

Delivered Wiped: No Service Needed, Delivered Wiped

Do Not Wipe – Customer Mandate: Parent Unit can only be sent to a Redeployment channel

3.1.3 Technician will complete the Audit and the ERP will update the HDD Assigned Service status.

3.1.4 YouWipe will be polling the ERP (after Step 2) for a wipe command and when it is set (in 3.1.3 above) the wipe will be initiated and the completion status updated to the ERP.

IF the Wipe Procedure was set to Manual Mode – the HDD would have been removed or the wipe would have been completed by the Technician prior to loading the information in the ERP.  In this scenario the BIOS data and the HDD wipe results are all sent to the ERP in one message.  The following data would now be displayed in the ERP:

3.2.1 HDD information displayed.  The HDD information provided by the diagnostic software will be displayed as shown below.

3.2.1 HDD Wipe Status information displayed.  As can be seen above, the wipe result of the HDD is also displayed for the Technician and if the wipe Failed – the HDD can be marked as removed and tagged with a tracking tag.

Loose Drives

Loose hard drives require the following processing procedures if ERP Mode is enforced.  This mode will have the YouWipe software poll the ERP for the wipe instructions set by the Technician.

Step 1: Capture the loose HDD data.

The Technician will capture the HDD information needed in the ERP by adding a HDD to the customer Order in the Sort screen as shown below (only the assigned service and S/N would be required in every situation) every other field is optional if not required by customer):

Step 2: Transfer Loose Drive to Secure Area

The loose drive can be tracked by either an ERP service tracking ID label printed after Step 1 is complete and/or via the serial number entered into the ERP (if applicable).  The loose drive should be transferred to the wiping area ready to be serviced and tracked.

Step 3: Attach the HDD to the Wipe Bay

Step 4: Wipe Status Automatically Updated in the ERPs.

On completion of the wipe, YouWipe will automatically update the ERP Wipe Status and the HDD information can be seen on the HDD Management screen as shown below which includes:

   1. HDD information

   2. Parent Asset information if the HDD was removed from an Asset.

   3. Wipe status with access to an automated wipe Certificate.
